Contractor Induction Checklist
The contractor induction checklist is the HSE induction for the people coming in from outside: the site rules, the emergency procedures, the PPE for the site, the permit requirements, and the sign-off that records the induction happened. It is the document the gate guard hands over, the one the contractor signs, and the one the investigation asks for when the contractor is the one hurt.

Contractor Induction Checklist — the 16 points before they start
Six groups, sixteen points. Tick as you go; the score shows what is briefed. Print the signed record for the file.
Work through it section by section — the site-specific hazards, the emergency, the PPE, the permit, the code of conduct — and the signature block records who inducted and who was inducted. The site-specific fields are the ones you fill in once for your site, and the checklist is then a fifteen-minute induction at the gate, not a lecture in a classroom.
How to use the template
- Set the site details once — the site name, the address, the site manager, the emergency numbers
- Work the site-specific hazards section — the crane swings, the live lines, the traffic, the specific risks of your site
- Walk the emergency section — the alarm, the assembly, the first aider, the muster
- Issue the PPE — the site PPE, the issue and the fit, recorded on the form
- Confirm the permit and the code of conduct — the PTW, the drug and alcohol, the reporting
- Sign the block — the inductor and the inductee, the date, the file reference
Worked example
A contractor arriving for the tank cleaning: the site details on the form, the specific hazards the H2S in the tank and the crane swing over the route, the emergency the alarm and the assembly at the north gate, the PPE the hard hat, the boots, the gloves, the harness for the entry, the permit the confined space entry and the gas test, the code the drug and alcohol and the reporting. Fifteen minutes at the gate, the signature block signed, the copy to the file and a copy to the contractor.
Standard & legal context
The contractor induction is the duty under the UK Management of HSW Regulations 1999 (the information and training for those affected by the work) and the CDM Regulations for construction, and the OSHA general duty clause and the site-specific safety plans in the US. The ISO 45001:2018 clause 7.2 competence and clause 8.1.4 procurement carry the same duty for the contractor. The checklist is the record that the induction happened, and the signature is the evidence.
Common mistakes
- Inducing in the classroom and not on the site — the site-specific hazards are the point, and the induction is at the gate, on the site
- One induction for every site — the site-specific hazards change, and the induction is per site, not per person for life
- No signature block — the unsigned induction is the one the investigation questions, and the signature is the evidence
- Inducting once and never re-inducting — the returning contractor after a long absence is re-inducted, and the high-risk task is re-inducted before the task
Need the sign-off, not just the template?
The template is the preparation; the sign-off is the professional. Common questions
Contractor Induction Checklist — answered
What is a contractor induction checklist?
The HSE induction for the contractors coming in from outside: the site rules, the site-specific hazards, the emergency procedures, the PPE, the permit requirements and the code of conduct, with the signature block that records the induction happened. It is the document the gate guard hands over.
Is a contractor induction legally required?
In the UK, the MHSWR 1999 require the information and the training for those affected by the work, and the CDM Regulations carry it for construction. In the US, the OSHA general duty clause and the site safety plans expect it. The checklist is the record, and the signature is the evidence.
How long does a contractor induction take?
Fifteen to thirty minutes at the gate for a standard site, longer for the high-risk site with the specific hazards. The checklist is designed to be a walk-through, not a lecture — the site-specific section is where the time goes.
How is it different from the workplace induction?
The workplace induction is for the new employee, the full onboarding with the role and the policy. The contractor induction is for the person coming in from outside, the site-specific hazards and the emergency, shorter and site-focused. The two are different documents and both are needed.
Does it cover the PPE issue?
Yes — the PPE section records the site PPE issued and the fit, so the induction and the PPE issue are one document. The PPE issue checklist on this site is the dedicated tracking version.
Can I print or export it?
Yes — print as many as you need for the gate, and the completed form goes to the file. Export CSV gives the inducted names and dates for your contractor record.

These templates are practical documents, built to the UK baseline with the US equivalents named on each page. They do not replace a competent person assessment for high-risk work, a statutory assessment, or the advice of your insurer. Where a document has legal force — the fire risk assessment, the COSHH register, the permit to work — the responsible person owns it. Use the template as the preparation, and the competent person as the sign-off.
